Do you know how to efficiently organize your institution’s enrollment campaign? We know that everything requires planning. But how do you go about it?


 

Often, in the rush to organize the enrollment campaign, last year’s strategy seems to work just fine. Then, when the school opens enrollment, the strategy doesn’t work. That’s because the most important element was missing from the equation: planning.

Behind every successful enrollment campaign lies thorough planning (including goals, activities, deadlines, and other details). And that alone is half the battle when it comes to your campaign's success.

1. Understand your current situation

Before moving on to the planning phase, analyze your last campaign and all the successes and failures from the previous year. This way, your strategy will be focused on achieving results that exceed expectations.

The first step in your enrollment planning is to write down the school’s growth goals. But before doing that, you need to make sure those goals are achievable.

  • How many transfers took place? 
  • How many students will be leaving the institution because they have graduated? 
  • How many students are currently enrolled at the school? 
  • How many of these students are in arrears?
  • What are the needs of current students?
  • How are students recruited? 
  • How many more students can the school accommodate? 

2. Plan the goals of your enrollment campaign

You can take this exercise a step further and set your goals—which basically means determining the numbers you want to achieve with this plan.

How many students does the school want to enroll? What revenue does the school project it will generate? Which classes or segments can the school expand?

3. Set your goals

Now, the school has enough information to set its goals, which are simply all the actions that will be necessary to achieve its objectives. 

  • When does re-enrollment begin?
  • What are the start and end dates for enrolling new students?
  • How many meetings scheduled to recruit students need to be held?
  • How many contracts need to be closed as a result of the scheduled meetings?

4. Organize the schedule 

Now that you have clear and well-defined school enrollment goals, it’s time to organize your steps into a schedule so you don’t miss any deadlines. 

Tuition Increase Analysis: To adjust and collect tuition, you must first demonstrate the need for the increase.

Renegotiation with delinquent students: The second half of the year is a good opportunity to negotiate with delinquent students and ensure that they renew their enrollment. 

Defining offers: Discounts are great incentives for encouraging early payment of tuition.

Review of terms and contract: Each year, the service agreement should be reviewed to determine whether anything needs to be changed or improved.

Re-enrollment Campaign: Priority is given to current students. During this period, the school should develop marketing strategies to build student loyalty.

Enrollment Campaign: The task force for recruiting new students should encourage new families to learn about the school and want their child to be a part of it.

5. Create a checklist 

Now that you've learned all about school enrollment, it's time to make a list of what you need to get your campaign started right away!

Planning: What are the campaign's objectives? What are the growth goals for my school?

Price: Has the tuition increase already been approved? What is the deadline for notifying families of the increase? What payment options can I offer for the tuition?

Delinquent Students: How many students will need to have their debts renegotiated? How many of the existing debts has my school been able to renegotiate?

Contracts: Will the contract need to be updated? What information needs to be verified?

Publicity: When does the re-enrollment campaign start? When does the new enrollment campaign start? Through which channels will the communication take place? What is my total investment? 

Tools: What tool can help my school promote the campaign? What tool can help my school collect tuition fees? What tool can help my school with the contract signing process?
